2. Understanding Team Admins and Team Reps

Brand Central separates team management into two areas. Review this section before inviting anyone so you know which area to use.

TEAM > TEAM ADMINS

Team Admins

TEAM > TEAM REPS

Team Reps

Who: Brand administrators and owners.

Who: Your brand’s representatives.

Used for: Managing administrative access to Brand Central.

Used for: Managing representatives, including their territories, contact visibility, and other rep settings.

Instructions: See Sections 3–4

Instructions: See Sections 5–7

An individual can be both a Team Admin and a Team Rep.

Already set up before the redesign?

If your brand already had representatives and territories configured before the Brand Central redesign, that information was migrated to the new platform. We recommend reviewing your existing team members and territory assignments to ensure they are accurate.

3. Managing Team Administrators

1. In the left navigation, click Team, then Team Admins.

Title: Screenshot 6 - Description: Brand Central screenshot

2. Review your administrators on the My Team Admins page. Each row shows the team member’s name, email, invitation date, and BC account status. To add administrators, click Invite people (see Section 4).

Title: Screenshot 14 - Description: Brand Central screenshot

About “Enable rep access”

Turn on Enable rep access if this person should also have representative access in addition to administrative access. As shown in Brand Central, rep access allows the user to receive assigned leads, respond to contact rep messages based on their territories, and represent your brand on Material Bank.

Enabling rep access does not assign territories or automatically make the person visible as a contact. Configure their access and territories separately (see Sections 6 and 7).

After you send an invitation, Brand Central may offer to create a lead assignment rule for the new team member. This is optional; see Section 8.

Option B — Bulk Invitation Using CSV

1. Go to Team > Team Admins, click Invite people, and select Bulk Invite (CSV).

Title: Screenshot 8 - Description: Brand Central screenshot

2. Click Download template.

3. Open the downloaded CSV file and enter each team member’s information (see the column table below). Save the completed file as a CSV.

CSV column

Description (required)

email

Team member’s email address

firstName

Team member’s first name

lastName

Team member’s last name

All three columns are required. Do not change the column headers. Example:

email

Taylor | Brooks

Morgan | Lee

Casey | Rivera

5. Managing Team Representatives

1. In the left navigation, click Team, then Team Reps. The My Team Reps page lists your representatives and how each one is configured.

Column

What it shows

Registered on MB

Whether the representative has registered on Material Bank.

Territory

The locations assigned to the representative.

In rep directory

Whether the representative is included in the Material Bank representative contact experience.

Admin access

Whether the representative also has Team Admin access.

Last active on BC

When the representative was last active in Brand Central.

Use the All, Active, Pending, and Inactive filters to review representatives by status. Default representative designation is managed in each representative’s settings (see Section 6).

To add representatives, click Invite people on the My Team Reps page. Representatives can be invited individually or in bulk. Contact Brand Services if you need help inviting representatives.

6. Configuring Representative Access

Representative settings determine what a representative can do and whether they appear as a contact on Material Bank. To open a representative’s settings, select Edit Rep from their action menu to open the Edit Team Member window (see Section 7).

Title: Screenshot 22t - Description: Brand Central screenshot

Contact visibility

Whether a representative appears as a contact on Material Bank is controlled by their contact-access setting in the Edit Team Member window.

Representatives appear as contacts when this setting is enabled and territories are assigned. You can confirm a representative’s status in the In rep directory column on the My Team Reps page (see Section 5).

A representative does not need to accept their invitation or complete their Material Bank profile before appearing as a contact.

Lead assignment eligibility — Assign leads

Turn on Assign leads to make the representative eligible for your lead assignment rules (see Section 8). A representative who receives assigned leads does not necessarily need to appear as a public contact.

Default representative — Default rep

Each brand has one default representative, who covers locations that are not specifically assigned to another representative. As shown in Brand Central, the default rep receives contact rep messages from A&D members on Material Bank that do not have a territory assigned by another rep. Turning on Default rep for a representative replaces the current default rep.

For brands with existing representatives, the default designation was migrated into Brand Central. We recommend reviewing which representative is designated as your default.

Ordering access — Create orders

Representatives can place orders for your brand’s products through Brand Central. If rep ordering is not enabled for your brand, the Create orders setting displays a message asking you to contact us.

Contact Brand Services if you would like to enable this feature.

7. Assigning and Managing Representative Territories

Territories define which geographic areas a representative covers. A representative can have multiple territories, and different geographic levels can be combined.

1. Go to Team > Team Reps and locate the representative whose territories you want to manage. Open their action menu (…) and select Edit Rep to open the Edit Team Member window.

Title: Screenshot 21 - Description: Brand Central screenshot

2. In the Territory section, choose the location type from the dropdown (for example, Zip Code) and search for the territory. You can also paste multiple entries separated by commas.

Title: Screenshot 22 - Description: Brand Central screenshot

3. Select the matching location from the results.

Title: Screenshot 23 - Description: Brand Central screenshot

4. Review the locations listed under Selected Territories. Use Clear All to remove all selections if needed.

8. Understanding Lead Assignment Rules

Representative territories determine which geographic areas a representative covers. Lead assignment rules determine how incoming project leads are automatically assigned to representatives. These settings are managed separately.

Important

Updating a representative’s territory does not automatically update their lead assignment rules. If you change territory coverage, review your assignment rules to ensure incoming leads continue to be routed appropriately.

After you invite a team member, Brand Central may offer to create a lead assignment rule for them.

Click Create Rule to set one up, or Skip to continue without one. Creating a rule is optional. A rule created from this prompt is a separate lead assignment rule: it does not permanently link the representative’s territory settings to the rule, and future territory changes will not automatically update it.

Title: Screenshot 15 - Description: Brand Central screenshot

In the New Rule window, choose the conditions that determine which leads are assigned to the selected representatives:

Title: Screenshot 16 - Description: Brand Central screenshot

Field

What it does

Reps

The representatives who receive the leads assigned by this rule.

Member Location

Assigns leads based on the member’s location (for example, when Florida is the member’s state).

Project Type

Assigns leads based on the selected project type (for example, Workplace).

Project Phase

Assigns leads based on the selected project phase (for example, Concept Design).

Company Practice

Assigns leads based on the member’s company practice.

Firm

Assigns leads when a specific firm creates a lead.

ZIP-code-level targeting is available for representative territories but not for lead assignment rules. A ZIP-code territory does not create a ZIP-code-specific assignment rule.

9. Managing Representative Profiles and Invitations

• Representatives receive an invitation to join your brand.

• Representatives manage their personal profile information through Material Bank. Brand administrators should not expect to edit a representative’s personal profile information after the invitation is sent.

• A representative’s profile information may be shared across multiple brands they represent.

• Pending invitations can be reviewed using the Pending filter on the My Team Admins or My Team Reps page.
